DEPARTMENT/TEAM DESCRIPTION:
Our company Sample Accountability (SA) is part of the Field Business Systems team within Commercial Operations.
SA is responsible for the management and the monitoring and reporting of Federal and State Compliance regulations pursuant to pharmaceutical drug sample programs.
In addition to the compliance functions, SA moves inventory from the company warehouses to the fulfillment vendor J. Knipper and Co. and coordinates across the franchises on their individual sample programs.
POSITION SUMMARY
The SA Manager position would comprise of the day-to-day functions of the sample programs with the Sales Consultants, vendors, and franchises.
This includes, but is not limited to, researching sample issues, entering IT tickets, on/off boarding Sales Consultants, IUD replacement program and returned units and monitoring vendor inventory levels.

The position is being created to assist the Associate Director with the day-to-day work volume.
The position allows the Assoc. Director to direct a larger amount of focus to the compliance operations such as, Training programs, Standard Operating Procedures, Compliance Monitoring, and IT problems.
POSITION DUTIES & RESPONSIBILITIES:
The main duties and responsibilities are: WHC IUD Replacement program - monitoring the PAIR approval queue for new orders and re-shipping orders that are returned due to non-delivery.
IT tickets - Enter, monitor, and close IT tickets in the company ticketing system for inventory errors with the various sample programs.
This includes researching the cause of the error and determining the action IT needs to take to correct the errors.
Coordinating with sample vendors: J. Knipper and Co. - warehouse fulfillment, and IQVIA - sample inventory reconciliation.
This includes, but is not limited to, researching shipments, and reviewing weekly fulfillment reports and working with IQVIAs company Sample Support and the SC on inventory questions and reconciliation.
Monitoring the daily Roster notifications when an SC is a New Hire or Resigning.
This includes communicating with the RSM to ensure Compliance documentation and Training is completed, Sample shipments are sent or transferred to/from another SC.
Monitoring and tracking Compliance Training requirements for Annual retraining requirements.
Logistics of sample inventory between the company warehouses and the vendor fulfillment center.
REQUIREMENTS/PREFERENCES Education Requirement(s):
- 4-year college degree, preferably Business Admin, Systems, Pharma Compliance
Skill & Competency Requirements:
Proficient in the Prescription Drug Marketing Act Project Management Proficient with MS Word, Excel, Outlook, Teams Excellent organizational skills
Excellent customer service skills
Excellent problem-solving skills Preferences: Pharmaceutical experience with sampling programs
